The planning fee varies depending on factors such as the number of travelers and destinations, the length and complexity of the trip, the level of customization required, the anticipated volume of communication, and the scope and complexity of the planning, arrangements, and coordination required.
Our Comprehensive Travel Planning service generally includes the following, with the exact scope tailored to your specific trip and requirements:
- Personalized Travel Consultation:
We begin by learning about your travel preferences, priorities, needs, and expectations so that we can provide appropriate advice and planning tailored to your needs. We also take the time to understand the interests of each traveler in your group—what they hope to see, experience, and learn—so that we can create a thoughtful and highly personalized itinerary that balances individual interests with the needs of the group as a whole. - Communication via Email and WhatsApp:
Throughout the planning process, we stay in close contact with you via email and WhatsApp to discuss details, answer your questions, address any concerns, and refine your travel plans. The anticipated level of communication is considered in your custom quote. Within the agreed planning framework, we do not set a fixed limit on the number of messages, allowing for thoughtful and ongoing communication as your journey takes shape. - Professional Travel Advice and Local Insight:
Throughout the planning process, we provide practical advice and local insight relevant to your journey. This may include cultural etiquette, seasonal considerations, appropriate clothing, local customs, and common travel questions and concerns. Upon request, we can also recommend gifts and souvenirs that reflect local culture and suit your tastes. - Overall Itinerary Design, Mapping, and Review:
We design the overall concept, structure, and flow of your journey—defining the kind of trip you would like to experience, determining how destinations should be combined, and creating the right balance throughout the trip. Our planning is personalized according to your preferences, priorities, interests, and travel style. Depending on how far you have progressed with your plans, this may include:
・Itinerary Design from Scratch: If you are unsure where to begin, we can develop an overall travel concept, select suitable destinations, and design your itinerary from the ground up based on your interests and the kind of journey you are seeking.
・Route and Itinerary Mapping: If you already have your travel dates and preferred destinations in mind, we shape your ideas into a practical and efficient route, considering travel time, the sequence of destinations, and the allocation of nights.
・Existing Itinerary Review and Refinement: If you have already created an itinerary, we review and evaluate it from a professional perspective, identify potential issues, and suggest improvements based on your requests and priorities.
(The scope of work will be reflected in your custom quote. Requests for additional itinerary options or significant changes after the overall itinerary has been agreed upon may require an additional fee.) - Day-by-Day Planning, Itinerary Design, and Review:
Once the overall itinerary has been finalized, we help shape each day of your journey based on your interests, preferences, and desired pace. This may include:
・Personalized Day-by-Day Planning: We recommend what to see and do in each destination and organize each day around suitable areas, interests, or themes. We consider travel time, opening days and hours, the geographical relationship between locations, and the most practical order of visits.
・Existing Daily Plan and Itinerary Review: You may already have general ideas, a list of places and activities assigned to particular days, a rough daily plan, or a more structured itinerary. We assess its practicality, timing, pace, and geographical flow, identify areas that may benefit from improvement, and, in consultation with you, recommend the adjustments needed to develop it into a realistic, efficient, and well-balanced day-by-day itinerary.
(The level of detail may range from a flexible daily framework to a highly detailed schedule. The extent of planning and refinement required will be reflected in your custom quote.) - Transportation Logistics:
We design an efficient transportation plan for your journey, including recommended routes, departure times, connections, and the most suitable transportation methods for each part of your trip. Where requested, we can also coordinate airport transfers, train tickets, private vehicles, and other necessary transportation arrangements. We will advise you on when public transportation, taxis, or private transportation would be the most practical and comfortable option.
(Transportation fares, tickets, private vehicle charges, and other related costs are not included in the planning fee and will be charged separately.) - Hotel and Ryokan Recommendations and Advice:
We recommend hotels and ryokan suited to your preferences, budget, itinerary, and travel style, and explain why we believe each option may be suitable for your trip. If you have already selected a property, we can evaluate it in terms of location, convenience, quality, and overall suitability, and suggest alternatives where appropriate. At your request, we can communicate directly with the hotel or ryokan to clarify details and coordinate specific requirements. - Activities, Cultural Experiences, and Private Guides::
We recommend activities and cultural experiences suited to your interests, preferences, and itinerary. We also recommend suitable private guides and coordinate guided tours and activities. Guide fees and activity costs are not included in the planning fee and are charged separately. - Personalized PDF Travel Guidebook:
You will receive a clear, easy-to-follow personalized PDF travel guidebook that brings together the key information for your journey in one place. It may include your finalized day-by-day itinerary, accommodation details, transportation routes and schedules, detailed guidance for navigating stations and making connections, directions between stations and your accommodations, transfer instructions, booking details, useful links, and easy-to-understand seating diagrams showing the location of your assigned seats on trains or buses. - On-Trip Local Support:
While you are in Japan, you are welcome to contact us if you encounter an unexpected travel issue, such as a train or bus disruption, need guidance on alternative transportation, or require assistance communicating in Japanese. Practical assistance is available up to 3 times during your trip.
You are also welcome to message us if something during your trip is causing you concern, if you would simply like some reassurance, or if you would like to share an experience. Messages that do not require practical assistance are not counted toward this limit. We want you to feel that you have someone local whom you know and trust throughout your journey.
Please note that this is not a 24-hour emergency service. We may not always be able to respond immediately, but we will reply as soon as reasonably possible. In the event of a medical, safety, or other urgent emergency, please contact the appropriate local emergency services or ask your hotel for immediate assistance.
Support for Specific Travel Needs:
If you do not require comprehensive travel planning but would like assistance with a specific aspect of your journey, please let us know what kind of support you are seeking. We will review your request and, where we are able to assist, provide a custom quote based on the nature and scope of the work required. Please note that some services may not be available on a standalone basis.
